Introduction
Ingrain is seeking a dynamic Manager Order Fulfilment and Distribution to join the Supply Chain Team. The Manager Order Fulfilment and Distribution is responsible for managing both the order fulfilment process and outbound delivery operations to ensure seamless, on-time deliveries to customers. This role focuses on optimizing customer service, transport logistics, supplier management, and cost efficiency. The role requires proactive leadership to coordinate internal teams, customers, and transporters, ensuring timely deliveries, minimizing costs, and optimizing the distribution network.
Job description

Key Responsibilities:

1. Customer Service:

  • Enhance on-time loading and delivery by working closely with transport planners and understanding customer needs.
  • Engage with senior customer staff and sales teams to ensure alignment and address recurring issues, focusing on continuous improvement.
  • Provide excellent customer service by anticipating needs, resolving delivery issues within 24 hours, and driving process improvements to enhance service levels.
  • Ensure customer orders are fulfilled accurately and on time, focusing on both domestic and export markets.

2. Order Fulfilment:

  • Oversee the end-to-end order fulfilment process (OFP) for domestic, cross-border, and export customers, ensuring strict adherence to systems and schedules.
  • Monitor delivery schedules, manage backorders, and conduct root cause analysis for delivery failures.
  • Collaborate with transport planning teams to ensure effective coordination between mills, transporters, and customers.
  • Ensure adherence to procedures and service level agreements (SLAs), optimizing processes for least-cost supply while maintaining high service levels.

3. Supplier and Transport Management:

  • Predict and manage transport demand, including contract negotiations with hauliers, shipping providers, and external warehouses.
  • Optimize transporter relationships to reduce costs through route optimization, rate negotiation, and performance monitoring.
  • Lead the transport planning team to manage budgets, ensure high vehicle utilization, and propose delivery methods that improve efficiency and service levels.
  • Oversee customer deliveries, import/export logistics, and inter-mill transportation.

4. Cost and Efficiency Management:

  • Control transport and distribution costs by implementing cost-saving initiatives and maintaining the least-cost supply model.
  • Analyze transport and operational costs (Rand/Ton), focusing on improving vehicle utilization (target: 90%) and ensuring costs remain within budget.
  • Identify areas for financial improvement through analysis and implementation of efficient transport and order fulfilment methods.

5. Leadership & Team Management:

  • Lead and manage the Order Fulfilment and Distribution teams, providing coaching, training, and development to ensure optimal performance.
  • Foster a directive yet collaborative management approach, ensuring teams adhere to processes and meet performance targets.
  • Drive key performance measures and ensure all team members meet their Individual Development Plan (IDP) objectives.

Key Performance Indicators (KPIs):

  • On-Time Delivery: Achieve 95% DIFOTIS (Delivery in Full On-Time in Spec).
  • Cost Efficiency: Maintain transport and distribution costs within budget.
  • Vehicle Utilization: Ensure 90% vehicle utilization.
  • Customer Service: Resolve delivery issues within 24 hours and ensure customer satisfaction (target: 95%).
  • Supplier Management: Conduct 12 performance reviews annually with transporters, maintaining up-to-date customer cartage rates in SAP.

Minimum requirements

Qualifications & Experience:

  • Degree in Supply Chain Management, Logistics, or a related field.
  • 4-5 years experience managing order fulfilment & transport logistics teams, and supplier relationships.
  • Proficiency in ERP systems (SAP preferred) and transport planning tools.
  • Strong communication and project management skills, with experience in managing large-scale supply chain operations.
  • Management Development Programm qualification advantageous
